One digital mailbox for all citizens and companies

Netcompany’s implementation of a Next Generation Digital Mailbox significantly enhances user experience and system integration, achieving widespread adoption among citizens and companies, and setting a new standard for public digital infrastructure. 

Challenge

In Denmark, the ability to receive official digital communications from public authorities is seen as a basic right and welfare benefit. As an integral component of Danish digital infrastructure, Digital Post caters to the evolving needs of authorities and citizens regarding digital mail and notifications. 

In 2019, Danish authorities sought to develop a superior digital mailbox, envisioned as the “Next Generation Digital Mailbox”. The primary objective was to establish a user-friendly, cohesive, and easily accessible digital mail solution providing a platform for rethinking the traditional letter, notification, and correspondence in the public sector.  

 

Solution 

In November 2020, Netcompany was commissioned to reinvent this crucial societal system by delivering an entirely new Digital Post solution, retaining existing features and adding new functionalities.  

The project reached production in March 2022, and is set to continue until March 2028.

A notable innovation in this iteration of Digital Post is the MeMo format. MeMo, a self-contained format, enables structured messaging between citizens, companies, and public authorities. It features interactive messaging capabilities, enriched with metadata like case and customer IDs which supports new ways of usage and drives efficiency and ease in the communication processes and public administration.  

The new digital mail solution enhances public sector ownership, offers flexibility for future adaptations, and ensures a high degree of usability for all Danish citizens. In addition, it supports continuous improvement and maintains a strong emphasis on security. 

Results

  • As of the third quarter of 2023, there were 5.17 million subscribers to Digital Post with over 55 million letters sent.
  • Over 92% of Danish adults (more than 4 million) and all private companies (680,000) use the solution, which integrates with over 15,000 systems.
  • According to the Agency for Digital Government, 83% of Danish citizens are satisfied with the Digital Post solution.

An example of the value gained from the new Digital Post solution and the MeMo format are new ways of viewing and acting on digital mail in apps such as mit.dk. One of the first such implementations that was rolled out in several Danish municipalities was to enable citizens who get a parking ticket to pay their bill directly from the message they receive in their digital mail with a single swipe on their phone.
